Reviewing missing data in content engagement reports
Trace missing content events through sharing, collection, processing, CRM links and report filters before drawing conclusions from blank engagement data.
To review missing engagement data, trace an expected activity from the sharing route to the report and record where the trail stops. A blank buyer-view field means no view was recorded in that report. On its own, it does not show that the buyer ignored the asset.
Establish what should appear
Choose a period and a small set of activities confirmed independently of the engagement dashboard. Record the asset and version, sender, sharing route, event time, expected report and permission to inspect the activity. If customer activity cannot be reviewed, a controlled check can use safe test material; its result would describe that test route only.
Define the report’s coverage. Attachments, local downloads, direct links, shared Pages and personalised copies may be handled differently. Filters also affect which views appear.
Content Engagement Reporting Coverage by Sharing Route
- Email AttachmentsNot tracked unless configured via external tags; may be excluded from standard reports.
- Direct LinksTracked if accessed through Showpad platform; requires proper tagging.
- Shared PagesTracked with full engagement data when viewed within the platform.
- Personalised CopiesTracked only if delivered via Showpad’s secure sharing system.
- Local DownloadsMay not register as a view unless re-uploaded or accessed through the platform.
Trace the missing event
| Checkpoint | Question |
|---|---|
| Distribution | Was the asset sent through a route the system tracks? |
| Identity | Was the activity associated with the expected asset, version and recipient? |
| Collection | Could the viewer’s action be recorded under the applicable settings? |
| Processing | Has the report refreshed since the event? |
| CRM link | Was the activity linked to the intended opportunity, if the report requires one? |
| Display | Do filters, permissions or report definitions hide the event? |
Record the first point that cannot be confirmed and what remains unknown. Analytics and reporting data may refresh on a cycle, so an immediate absence can precede the next refresh; check the stated refresh timing before treating a gap as permanent. Consent and privacy settings can also suppress what is recorded. Neither possibility diagnoses a particular missing row without checking the relevant setup.
If a report depends on a separate tag implementation, inspect that implementation on its own terms. Consent rules configured for such a tag govern that tag; they cannot be assumed to govern a content platform’s own event collection.
Tracing Missing Content Engagement Events
- DistributionWas the asset sent through a tracked sharing route?
- IdentityIs the activity linked to the correct asset, version and recipient?
- CollectionCan the viewer’s action be recorded under current settings?
- ProcessingHas the report refreshed since the event occurred?
- CRM LinkIs the activity linked to the intended opportunity (if required)?
- DisplayAre filters, permissions or report definitions hiding the event?
Describe the gap without filling it
For a defined set of independently known eligible activities, report how many are visible, absent and awaiting refresh. Keep activities outside the tracked routes in a separate category. A completeness rate for those checked activities cannot estimate every buyer action.
Look for concentration by route, asset type, user role, period or CRM connection where the fields exist. Do not allocate observed engagement to unseen recipients.
Decide whether the report can be used
State the population the report covers, restrict the comparison if necessary or pause the conclusion. For example: “This report describes recorded buyer views from tracked shares in the stated period; email attachments are outside the checked route.” That statement limits the claim; it does not restore missing records.
Give a confirmed defect to the system owner and repeat the same controlled check after a fix. Until then, show the missing population beside any rate or comparison that depends on it.
