Collecting field questions after a launch

Capture post-launch buyer questions, route them to an owner, return verified answers and update launch guidance.

Collect post-launch field questions as records that can be answered and closed. Capture the buyer's wording, the circumstances that change the answer, what has already been said and the decision the buyer is waiting to make. Give the buyer a response owner, even if several specialists help verify the answer.

Capture enough context to route the question

Ask representatives to record the product or offer, the buyer question, relevant configuration or workflow, any answer already given and the agreed follow-up date. Keep the account contact responsible for replying in the approved customer system. A shared launch-question log need not duplicate identifying details.

Preserve exact wording when it changes the decision. 'Is this available?' may concern the whole product, one location or a particular account's terms. Mark a proposed answer as unverified until its owner confirms it. If an inaccurate assurance may already have reached a buyer, flag it for prompt account follow-up.

Assign the decision

QuestionOwner to involve
Current product behaviourProduct specialist confirms what works and under which conditions.
Offer or termAuthorised commercial owner confirms the applicable position.
Unclear launch wordingContent owner checks the wording and affected material.
Buyer-specific fitRelevant specialist assesses the stated requirements.
Future featureProduct and commercial owners decide what may be said, if anything, about timing.

These are routing prompts; authority depends on the organisation. Show whether a question is awaiting evidence, has an approved answer or has a confirmed mismatch. Keep the buyer response owner visible throughout.

Return the answer to the buyer and guidance

An owner's reply should address the original question, identify the internal evidence used, state where the answer applies and name any remaining condition. Separate a reusable answer from an agreement or assessment tied to one buyer. Return the answer to the representative and buyer, then ask the relevant owner to update the launch brief, material or support explanation. Identify the earlier wording it replaces.

The ACCC accepts reports about possible misleading claims and can require businesses to back up claims they make about products or services. If the log reveals an overbroad promise, review the affected buyer communication as well as the shared wording.

Review what the questions reveal

Group questions only when they need the same answer. Repeated uncertainty about an inclusion, fit condition or delivery step gives the launch owner a reason to inspect the guidance. Frequency alone does not establish why the question arose or how common it is among all buyers; note the period, channels and teams represented.

Close a record when the verified answer, its scope, buyer follow-up and any content correction are recorded. If the answer remains unsettled, keep it open with a named next check and an accurate interim response.
